Confirmation & Deposit
Confirmation of bookings is required in writing by the organiser of the event with an estimated number of delegates provided within 7 days of reservation.
A deposit of $500 is required within 14 days of the reservation to secure the booking. Port Stephens Marina Resort reserves the right to cancel any reservations not confirmed within the alloted time (14 days).
Cancellations
Full refund of deposit will be provided when bookings are cancelled in writing within 60 days of the event date. When notice is less than 60 days, no cancellation fee will be charged, however your deposit will be retained subject to the space been resold.
When notice is less than 14 days, a cancellation fee of 50% of the projected revenue will be charged and your deposit retained at the discretion of management.
It should also be noted that when the number of attendees drops by 25 per cent or more from the original number booked additional charges may incur.
Guaranteed Minimum Number of Guests
To enable the staff at Port Stephens Marina Resort to cater for your event efficiently, an approximate number of guests is required 2 weeks prior to your the date of your event. A final, guaranteed number of guests is required by midday , 4 working days prior to the event. This will then be regarded as the minimum number of persons for catering purposes, & will also become the minimum number charged to your account.
When re confirmation is not provided, the guaranteed number of guests as provided upon booking, will be taken as final.
Payment
Any balance of your account must be settled in full on the day of your departure unless prior arrangements have been made.
For all private functions such as dinners, wedding etc, full payment is required 24 hours prior to your event, unless otherwise arranged with management.
Responsibility & Damage
Whilst Port Stephens Marina REsort makes every effort to take full care of your belongings, we accept no responsibility for the damage or loss of items prior to or during your event. Damage to meeting rooms can be avoided with the assistance of our team. When damage is sutstained to any property of Port Stephens Marina Resort either through their own actions or that of invited guests or contractors, the organiser of the function will be liable.
